MINIMUM QUALIFICATIONS: Associate’s Degree and two (2) or more years of paid work experience in an administrative office setting; proficiency with office software, preferably Microsoft Office. Bachelor’s Degree preferred.
Must be a skilled communicator, both orally and in written form and possess exceptional interpersonal skills to handle high level internal/external contact; high degree of organizational skills and attention to detail required as well as the ability to cope with simultaneous and competing work demands also required.

NATURE AND SCOPE OF DUTIES: The Assistant to the Vice President for Workforce Development/Community Education reports to the Vice President for Workforce Development/Community Education or his/her designee and performs the following duties:

•    Handles highly confidential information and performs specialized administrative functions, supporting the VP for Workforce Development/Community Education in a proactive manner handling some matters autonomously.
•    With direction from the VP for Workforce Development/Community Education, timely responds to oral and written communications, both internal and external, relating to academics, student issues, legal, Board of Trustees Policy, collective bargaining, and personnel related issues.
•    Conserves the VP’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information.
•    Provides a bridge for smooth communication between the VP’s Office and their direct reports, demonstrating leadership to maintain credibility, trust, and support.
•    Works closely with other College VPs and their administrative staffs to support their office functions and ensure timely interaction with the Office of the VP for Workforce Development/Community Education.
•    Processes StartUP NY proposals through SUNY and ESD, prepares agenda/presentations for meetings with business partners, and includes all pertinent documentation required. 
•    Prepares internal memos, proposals, HR paperwork, and disseminates to appropriate campus employees.

•    Under the direction of the VP for Workforce Development/Community Education, assumes active role in the budget preparation and process for the department, creates necessary forms for meeting presentations to the VP for Workforce Development/Community Education. Consolidates all budget requests for submittal to the Budget Office for review by the VP of Administration & CEO, the President, the Board of Trustees, and with final approval by the Rensselaer County Legislatures. Monitors and responds to budget questions throughout the fiscal year.
•    Acts as liaison with Purchasing, Payroll, Accounts Payable, Human Resources, Facilities, the Budget Office, and Registrar in regard to processing approved travel, requisitions, purchase orders, blanket orders, payroll authorizations, timesheets, temporary service requests, expense reports, invoice payment requests, check payments, employee searches/screenings, workorders, surplus sale forms, budget funds/transfers. 
•    Leads coordination of events in concert with facilities, catering, communications, and events offices.
•    Review for completeness and for the VP for Workforce Development/Community Education approval of Articulation Agreements, Consultant Agreements, Grants, and RemoteWork Agreements.
•    Creates Travel Authorizations and prepares Travel Expense Reports for the VP for Workforce Development/Community Education.
•    Maintains electronic record systems for all documents conducive to the Office of the VP for Workforce Development/Community Education.
•    Calendar Management - schedule and maintain calendar meetings.
•    Creates PowerPoints, fillable forms, and digital signature documents as needed.
•    Continually streamlines processes and procedures as they apply to the Office of the VP for Workforce Development/Community Education.
•    Serves on search committees to fill open positions as requested.
•    Provides notary service for staff and students.
•    Performs additional duties as assigned by the VP for Workforce Development/Community Education.

This is a full-time 12-month Management Confidential position with a salary of $50,000.00
